Email management software that works inside your own mailbox
InboxManager is email management software for founders, executives, sales leads and small teams who get more mail than they can read. It connects to Gmail or Outlook, sorts every message into five clear lanes, sums up long threads, writes reply drafts in your voice and reminds you about answers you are still waiting on. It all happens inside the mailbox you already have, and nothing is sent until you approve it.
What email management software should do for a business inbox
A business inbox mixes very different kinds of mail. A customer asking about a renewal sits next to a vendor invoice, a candidate reply, three newsletters and a cold pitch. Good email management software separates these before you open them, tells you which ones need a decision, prepares the answers you would write anyway and keeps track of conversations that have gone quiet. It should do this without asking you to learn a new app or give up the mail client your team already knows.
- Sorting by what the message needs from you, not only by sender
- Short summaries of long threads so you can decide without scrolling
- Reply drafts you can edit and send, never sent on your behalf
- Follow-up tracking, so a quiet thread does not become a lost deal
- Controls for teams, assistants and admins
An email management system built on labels, folders and drafts
InboxManager works as an email management system on top of your existing mailbox. In Gmail it writes labels and drafts, in Outlook it uses folders, categories and drafts. Because everything is stored in the mailbox itself, the results appear in the Gmail and Outlook web apps, in desktop clients and on your phone. Nobody on your team has to switch tools, and if you ever disconnect, your mail stays exactly where it is.
- Five lanes, Important, Needs reply, Waiting, Newsletters, and Spam and cold pitches
- Gmail and Google Workspace through the official Google API
- Microsoft 365 and Outlook.com through Microsoft Graph
The Gmail AI assistant and Outlook AI assistant pages explain how each platform looks once connected.
Core features of the software
Each feature is built for a specific part of the day where email costs time.
- 01 AI email organizer that sorts new mail into five lanes and applies your rules in plain English
- 02 AI email summarizer that turns a long thread into three lines with decisions, asks and deadlines
- 03 AI email response generator that drafts replies in your voice, learned from your sent mail
- 04 Email follow up reminders for threads where you are waiting on an answer
- 05 Daily email briefing at the time you choose, with what needs you today
- 06 Assistant delegation so an assistant triages and drafts while you approve
- 07 Shared inbox software for info@, sales@ and support@ on Plus and above
Rules you write the way you would brief a person
Instead of building filters condition by condition, you describe what you want in a sentence. "Invoices from vendors go to Finance and remind me Friday." "Anything from our lawyers is Important." "Recruiting newsletters go to Newsletters." InboxManager applies each rule to every new message and shows which rule acted on which email, so you can adjust it when something lands in the wrong place.
How InboxManager differs from other email management software
The category covers several kinds of products. Some, such as Superhuman and Shortwave, are separate email clients you move into. Some, such as SaneBox, filter mail without writing replies. Others, such as Front, are shared inbox tools built mainly for support teams. InboxManager sits in a different place: it works inside Gmail and Outlook, writes reply drafts, supports an assistant on every plan and adds shared inboxes for teams. Our best AI email assistant page compares these approaches side by side.
Controls that business email management needs
Email holds contracts, payroll questions and customer data, so the software has to be careful with it. InboxManager uses OAuth with the minimum scopes it needs, encrypts data in transit and at rest, and never uses your mail to train AI models. Admins get roles, an audit log and data retention settings. Enterprise adds SSO through SAML, SCIM provisioning, an admin console, a data processing agreement on request and invoice billing. The business email management software page covers the buyer side in more detail.
Plans and monthly limits
There are four plans, each with clear monthly limits shown in the app. Starter covers one owner, one assistant and two mailboxes for 24 USD per month billed yearly. Plus adds a team of up to five and two shared inboxes. Pro and Enterprise scale to 25 and 100 seats. Usage is counted as consumption in the billing period, there are no unlimited plans, and a higher plan is the way to a bigger allowance. See the full table on pricing.
Is InboxManager an email client?
No. InboxManager is email management software that works inside Gmail and Outlook. You keep reading and sending mail in the apps you use today, and InboxManager adds labels, folders, summaries and drafts to them.
Does the software send emails automatically?
No. InboxManager writes drafts and saves them in your Drafts folder. You open the draft, edit it if you want and press send yourself. An assistant can prepare drafts for you, but the approval stays with you. There is no automatic sending setting.
Can one plan cover both Gmail and Outlook mailboxes?
Yes. Every plan lets you connect Gmail, Google Workspace, Microsoft 365 and Outlook.com mailboxes in any mix, up to the mailbox limit of the plan. An agency owner with one client on Gmail and another on Outlook manages both from one account.
Can I try InboxManager before I pay?
Yes, once. There is a one-time demo on the home page where you paste an email and see how it is sorted and answered. Paid plans start at 24 USD per month billed yearly.
