Gmail AI assistant that works with your labels and drafts
InboxManager is a Gmail AI assistant that works through the Gmail you already know. It connects with Google sign-in, sorts every new message into labels, adds short summaries to long threads and saves reply drafts in your voice to your Drafts. You see all of it in Gmail on the web, in the Gmail app on your phone and in any client connected to your account, and nothing is sent until you press send.
Connect Gmail or Google Workspace with Google sign-in
You connect through the official Google API using OAuth. Google shows its own consent screen listing exactly what InboxManager asks for: reading messages so they can be sorted and summarized, managing labels so the lanes appear in Gmail, and creating drafts. You never give us your Google password, and you can remove access at any time from your Google Account security page or from InboxManager settings.
- Personal Gmail accounts ending in gmail.com
- Google Workspace accounts on your company domain
- A mix of both on one InboxManager account, up to your plan's mailbox limit
If your Workspace admin restricts third-party apps, they can allow InboxManager in the Google Admin console before you connect.
Five lanes that show up as Gmail labels
Gmail organizes mail with labels rather than folders, and InboxManager follows that model. Each new email gets one of five labels: Important, Needs reply, Waiting, Newsletters, and Spam and cold pitches. Labels sit in the left sidebar like any other, so you can open Needs reply and work through it, or search with them using Gmail's own search operators. Your existing labels and filters keep working alongside them.
- Needs reply becomes your real to-do list for email
- Newsletters and Spam and cold pitches are labeled and skip your main view, without being deleted
- Waiting collects threads where you sent the last message
- Moving a message to another label teaches the assistant for next time
More on the lanes on the AI email organizer page.
Works next to Gmail's own tabs and filters
If you use Gmail's Primary, Promotions and Updates tabs, they stay as they are. InboxManager labels sit on top and are based on what each message asks of you, not only on its type. Filters you built earlier keep running. When a filter and a plain English rule overlap, you see both labels and can decide which to keep.
Reply drafts saved straight to Gmail Drafts
For every message in Needs reply, the Gmail AI assistant writes a draft in your voice, learned from your sent mail, and saves it in the thread as a normal Gmail draft. Open the email and the draft is already there below it, ready to edit. Because it is a regular draft, it syncs to every device. You press send yourself, there is no automatic sending in InboxManager at all.
- Drafts match your greetings, length and sign-off
- Regenerate in another tone, such as concise, warm, formal or firm
- Drafts in the same language as the incoming message
The AI email response generator page explains how drafts are written.
Gmail on the web, the desktop and the Gmail app
Because labels and drafts are written into your Gmail account itself, the assistant does not depend on a browser extension. It works in Gmail in Chrome, Safari, Firefox and Edge, in desktop mail clients connected to your Google account, and in the Gmail apps for iPhone and Android. On the phone you can open Needs reply, read the summary at the top of a long thread, tweak the draft and send it in under a minute.
More than sorting, for people who live in Gmail
The Gmail AI assistant also keeps your day on track.
- 01 Three-line summaries of long threads, with decisions, asks and deadlines, see the AI email summarizer
- 02 Reminders when a thread in Waiting goes quiet, with a follow-up draft ready
- 03 A daily briefing email at the time you choose
- 04 Assistant delegation, so an assistant works in your Gmail while you approve
- 05 Shared inboxes for team addresses on Google Workspace, from Plus upward
If your team also uses Microsoft 365, the Outlook AI assistant works the same way on that side. For a broader view of the category, see email management software.
Plans for one Gmail account or a whole Workspace
Starter connects two mailboxes for one owner and one assistant at 24 USD per month billed yearly. Plus covers a team of up to five with ten mailboxes and two shared inboxes. Pro and Enterprise scale to larger Workspace domains with admin roles, SSO and SCIM. Limits are per month and shown in the app. See pricing.
Does the Gmail AI assistant need a Chrome extension?
No. InboxManager connects to your Gmail account through the Google API, so labels and drafts appear in every place you read Gmail, including the mobile app, without installing anything in the browser.
Will it mess with my existing Gmail labels?
No. InboxManager adds its five labels and leaves your own labels and filters untouched. You can rename its labels or hide them from the sidebar in Gmail settings.
Does it work with a personal gmail.com account?
Yes. Both personal Gmail and Google Workspace accounts connect the same way. A common setup on Starter is a company Workspace mailbox and a personal Gmail account side by side.
Can the assistant send email from my Gmail account?
No. It creates drafts and never sends them. You open the draft and press send in Gmail, on the web or on your phone.
