Outlook AI assistant for Microsoft 365 and Outlook.com
InboxManager is an Outlook AI assistant that works inside the Outlook you already use. It connects with Microsoft sign-in, sorts every new message into folders and categories, adds short summaries to long threads and saves reply drafts in your voice to your Drafts folder. Everything shows up in Outlook on the web, in the Outlook desktop app on Windows and Mac and in Outlook for iPhone and Android, and nothing is sent until you send it.
Connect Microsoft 365 or Outlook.com with Microsoft sign-in
InboxManager connects through Microsoft Graph, the official Microsoft API, using OAuth. Microsoft shows its own consent screen with the permissions requested: reading mail so it can be sorted and summarized, moving messages and setting categories so the lanes appear in Outlook, and creating drafts. You never share your Microsoft password with us, and you can revoke access at any time from your Microsoft account or from InboxManager settings.
- Microsoft 365 work and school accounts on your company domain
- Personal Outlook.com, Hotmail and Live accounts
- Gmail and Outlook mailboxes together on one InboxManager account
If your Microsoft 365 tenant requires admin consent for third-party apps, your admin approves InboxManager once in the Microsoft Entra admin center and every user can then connect.
Five lanes as Outlook folders and categories
Outlook organizes mail with folders and color categories, and InboxManager uses both. Each new message lands in one of five lanes: Important, Needs reply, Waiting, Newsletters, and Spam and cold pitches. Important and Needs reply stay in your Inbox with a category, so they remain in front of you. Newsletters and Spam and cold pitches move to their own folders, out of your way but never deleted. Waiting is a category on threads where you sent the last message.
- Categories you can filter and sort by in any Outlook view
- Folders that sync to every device connected to your mailbox
- Your existing Outlook rules and Focused Inbox keep working
The AI email organizer page explains each lane and how corrections teach the assistant.
Plain English rules next to Outlook rules
Outlook rules are powerful but rigid. With InboxManager you add rules the way you would say them, for example "Invoices from vendors go to Finance and remind me Friday" or "Anything from the board is Important". The assistant applies them to each new message and shows which rule acted, so you can adjust it without editing conditions one field at a time.
Reply drafts in your Outlook Drafts folder
For every message in Needs reply, the Outlook AI assistant writes a draft in your voice, learned from your Sent Items, and saves it as a normal Outlook draft in the conversation. Open the message in Outlook and the reply is ready to edit. You send it yourself, from any device. InboxManager has no automatic sending setting.
- 01 Drafts that match how you write to clients, colleagues and vendors
- 02 Regenerate in another tone, such as concise, warm, formal or firm
- 03 A three-line summary at the top of long conversations, see the AI email summarizer
Works in Outlook on the web, desktop and mobile
Because folders, categories and drafts are written into your Microsoft mailbox, there is no add-in to install and nothing to keep updated. The assistant works in Outlook on the web, in the classic and new Outlook for Windows, in Outlook for Mac and in the Outlook apps for iPhone and Android. Executives who approve drafts between meetings can do it from the phone in seconds.
Built for companies on Microsoft 365
Many companies run on Microsoft 365 because of its admin controls, and InboxManager respects them. Admin roles in InboxManager decide who can connect mailboxes and invite users. An audit log records sorting, drafts and approvals. Enterprise adds SSO through SAML, SCIM provisioning that works with your identity provider, an admin console and a data processing agreement on request.
- 01 Assistant delegation for executive assistants working in an executive's mailbox
- 02 Shared inbox software for addresses like sales@ and support@, from Plus upward
- 03 Email follow up reminders for threads that go quiet
If part of your team is on Google Workspace, the Gmail AI assistant works the same way there. The business email management software page covers rollout and governance.
Plans for one mailbox or a whole tenant
Starter connects two mailboxes for one owner and one assistant at 24 USD per month billed yearly. Plus covers up to five seats and ten mailboxes, Pro up to 25 seats and Enterprise up to 100 seats and 150 mailboxes. Monthly limits are shown in the app and count what you use in the billing period. Details are on pricing.
Is InboxManager an Outlook add-in?
No. It connects to your mailbox through Microsoft Graph, so there is nothing to install in Outlook. Folders, categories and drafts appear in Outlook on every device automatically.
Does it replace the AI features built into Outlook?
It does a different job. InboxManager sorts your whole inbox into lanes, tracks threads you are waiting on, sends you a daily briefing and supports assistants and shared inboxes, with every reply saved as a draft for approval. You can use it alongside any other Outlook features you already have.
Does it work with a personal Outlook.com account?
Yes. Personal Outlook.com, Hotmail and Live accounts connect the same way as Microsoft 365 work accounts.
Will it change my Focused Inbox or existing rules?
No. Focused Inbox and your Outlook rules keep working as before. InboxManager adds its own categories and folders and never edits your existing rules.
