AI email response generator that writes like you and waits for your OK
InboxManager is an AI email response generator built into the Gmail or Outlook you already use. It reads the thread, learns how you write from your sent mail, and puts a ready reply in your Drafts folder. You read it, change a word if you want, and press send yourself. There is no auto-send setting anywhere in the product, so a draft never leaves your mailbox without you.
An AI email reply generator that learns your voice from sent mail
Generic AI replies are easy to spot. They open with "I hope this email finds you well", run three paragraphs where you would write two lines, and sign off in a way you never would. InboxManager starts from your own sent mail instead. When you connect a mailbox, it studies how you open and close messages, how long your replies usually are, whether you use first names, how you say no, and how your tone changes between a customer, a colleague and a vendor. The result is a draft that sounds like the version of you that had five spare minutes.
- Short when you are short, detailed when the thread needs detail.
- Your usual greeting and sign-off, including the ones that change by person.
- The same level of formality you use with each contact.
- No phrases you never use, no filler, no emojis unless you write them.
Drafts saved to Drafts, never sent on their own
Every reply is saved as a normal draft in Gmail or Outlook, attached to the original thread. You see it in the thread view, in the Drafts folder and in your mobile app. You can edit it, delete it or send it like any other draft. InboxManager has no permission flow that sends mail for you, and there is no setting to turn one on. This matters most on the messages where a wrong reply is expensive, such as a pricing question from a prospect or a complaint from a customer, and it is the reason teams let the AI draft everything.
What the AI email response generator does with a real thread
Imagine a sales lead at a software company who receives this from a prospect at 6:40 in the evening: "Thanks for the call. Before I take this to my CFO, can you confirm the yearly price for 12 seats and whether onboarding is included? We would want to start in November." The message lands in Needs reply. A minute later the thread has a draft that confirms the yearly figure from the quote the sales lead sent last week, says onboarding is included as it was in that quote, proposes two start dates in the first week of November and asks who else should be on the kickoff. The draft uses the sales lead's usual two-line opener and "Best" sign-off. The sales lead changes one date and sends it from the phone before dinner.
When the draft needs facts it does not have
If a reply depends on information that is not in the thread or your past mail, the draft says so instead of inventing it. A question about a contract clause you have never discussed by email produces a draft with a clear marker such as "[confirm the notice period]" where the fact belongs, so you fill it in rather than catching a made-up answer later. Drafts never promise discounts, dates or terms you have not used before.
Tone and length controls for each reply
Most drafts are right as they are, but you can ask for another version from the thread with one click. Options include shorter, warmer, firmer, more formal and a decline. You can also add a short instruction, such as "say yes but push the call to next week", and the draft is rewritten with that intent while keeping your voice. Rules in plain English apply here too, for example "Replies to candidates are friendly and short, and always mention the next step."
Which emails get a draft
By default, InboxManager drafts replies for messages sorted into Needs reply by the AI email organizer. Newsletters, notifications and cold pitches never get drafts, so the draft limit is spent where it is useful. You can turn drafts off for a sender, a label or a whole mailbox, or ask for a draft on any message manually.
Works with the rest of your inbox
Drafts connect to the other features. A long thread gets a three-line view from the AI email summarizer above the draft, so you know what you are agreeing to. When you send a reply that asks a question, the thread moves to Waiting and the email follow up reminder prepares a polite nudge if nobody answers. If an assistant manages your mail, the email delegation to executive assistant feature lets them edit drafts and queue them for your approval, and team addresses get drafts based on past answers in the shared inbox software.
AI reply drafts on each plan
Drafts are counted as drafts created in the billing period. Deleting a draft does not return it to the count, and every plan shows the current number in the app. A higher plan raises the limit.
| Plan | AI reply drafts per month |
|---|---|
| Starter | 600 |
| Plus | 2,000 |
| Pro | 6,500 |
| Enterprise | 18,000 |

Can the AI email response generator send emails without me
No. There is no auto-send feature and no setting that enables one. Every reply is saved to your Drafts folder in Gmail or Outlook, and only you, or someone you have given access to your mailbox, can press send.
Is my email used to train AI models
No. Your messages are processed to sort mail and write drafts for you, and they are never used to train AI models. The AI model providers we work with process data under terms that exclude training on it. More detail is on the email data privacy page.
What languages do the drafts support
Drafts are written in the language of the thread. If a client writes in Spanish and you usually answer that client in Spanish, the draft is in Spanish and follows the way you write in that language.
How long does it take to learn my voice
The first drafts after connecting already use your sent mail, so they reflect your style from day one. They get closer over the following weeks as InboxManager sees which drafts you send unchanged and which ones you edit.
Let your next reply be ready before you open the thread
Connect Gmail or Outlook and find drafts in your own voice waiting in Drafts. You stay in charge of every send.
