InboxManager

Business email management software your team keeps using

InboxManager is business email management software for companies where email still carries the customers, the deals and the decisions. It sorts and summarizes mail in Gmail and Outlook, drafts replies in each person's voice, lets assistants and teams share the work and gives admins the controls they need. This page is for the person who signs off on the purchase: what the software does, how to work out the return, and how data and access are governed.

Where email costs a business money

The cost of email is rarely the subscription. It is the hours your most expensive people spend sorting, rereading and writing, the customer who waits two days for an answer, and the follow-up that never went out after a promising call. Business email management software is worth paying for when it removes those costs, not when it adds another inbox to check.

  • Senior people triaging mail by hand instead of deciding
  • Customer and partner replies delayed because they were buried under notifications
  • Follow-ups forgotten because nobody tracks who owes an answer
  • Shared addresses like sales@ answered twice, or not at all

Work out the return with your own numbers

We do not publish customer results, so here is the calculation to run yourself. Take the hours a person spends on email each week, estimate the share that is sorting, rereading threads and writing routine replies, and multiply by what an hour of their time is worth. Then add what one late customer reply or one missed follow-up costs you. Compare that with the plan price.

  1. 01 Hours on email per week, multiplied by the share that is routine work
  2. 02 Multiplied by the value of one hour of that person's time
  3. 03 Plus the value of replies that go out faster and follow-ups that are not missed
  4. 04 Compared with 24 USD per month on Starter billed yearly, or the team plan you need

What the software does for each role

Different people in a company use email differently, so InboxManager gives each role a different kind of help.

  1. 01 Founders and executives get five lanes, three-line thread summaries, a daily email briefing and drafts to approve, see executive email management
  2. 02 Executive assistants get assistant delegation, with triage and drafting rights and the owner's approval before anything is sent
  3. 03 Sales leads get Waiting tracking and email follow up reminders, see email follow up for sales
  4. 04 Support and operations teams get shared inbox software with assignment, collision detection and drafts based on past answers

Works in the mail apps your company already pays for

InboxManager connects to Google Workspace through the Google API and to Microsoft 365 through Microsoft Graph. There is no new client to roll out, no training on a new interface and no migration. People keep using Gmail or Outlook on the web, desktop and phone, and the sorting and drafts appear there. That is why adoption does not depend on changing habits.

Admin controls for business email management

Business email management software needs the same governance as any other system that touches company data.

  1. 01 Admin roles that decide who can connect mailboxes, invite users and change retention
  2. 02 An audit log of connections, rule changes, assignments, drafts and approvals
  3. 03 Data retention settings, so processed data is kept only as long as you choose
  4. 04 Per-mailbox permissions for assistants and teammates
  5. 05 Enterprise adds SSO through SAML, SCIM provisioning and an admin console

Data handling a security review can read

Access uses OAuth with the minimum scopes InboxManager needs to read mail, write labels or folders and save drafts. Data is encrypted in transit and at rest. Your mail is never used to train AI models and never sold. AI model providers that process content on our behalf are bound by contract not to train on it. A data processing agreement is available on request by email. The email data privacy page lists all of this in detail, including what we do not claim.

Rolling it out across a team

Most teams start with the people who get the most mail, then add assistants and shared addresses.

  1. 01 Week one, connect the mailboxes of the founder or executives and their assistants
  2. 02 Week two, add rules in plain English for invoices, recruiting and vendor mail
  3. 03 Week three, move info@, sales@ or support@ into a shared inbox on Plus or above
  4. 04 From then on, review the audit log and usage in the app each month

Plans sized by team

Starter covers one owner, one assistant and two mailboxes. Plus is for teams of up to 5 with 10 mailboxes and 2 shared inboxes. Pro covers up to 25 seats, 40 mailboxes and 10 shared inboxes. Enterprise covers up to 100 seats and 150 mailboxes, with SSO, SCIM, an admin console, a DPA on request, invoice billing and priority email support, at 749 USD per month billed yearly. Every plan is self-serve. Compare limits on pricing.

Can we pay by invoice?

Yes, on Enterprise. Invoice billing is included, along with SSO, SCIM, an admin console and priority email support. Other plans are paid by card, monthly or yearly.

Who can see the mail of other users?

Nobody by default. A user sees another person's mailbox only when that person grants delegation, and only for the mailboxes and actions they allow. Admins manage settings and the audit log, not the content of other people's mail.

Do we need to sign a contract to start?

No. Every plan, including Enterprise, starts self-serve from the pricing page. If your company needs a data processing agreement, request it by email at support@inboxmanager.ai.

How is usage counted across the team?

Limits apply to the whole workspace per month, for example 20,000 emails triaged and 2,000 reply drafts on Plus. Usage is shown in the app, deleting items does not free the allowance, and a higher plan raises every limit.
