InboxManager

Shared inbox software for info@, sales@ and support@

InboxManager is shared inbox software for small teams that answer email from one address. It connects info@, sales@ or support@ in Gmail or Outlook, sorts every message, assigns each conversation to one person, warns you before two people reply to the same customer and drafts answers based on how your team has replied before. Your team keeps working in the mailbox they know, with nothing sent until a person approves it.

Why a group address stops working as the team grows

A group address works when two people share it. With five, the same problems show up every week. Two people answer the same customer within ten minutes with slightly different prices. A message everyone saw is answered by nobody because each person assumed someone else took it. A new colleague writes a reply that took the team months to get right, from scratch, in a different tone. InboxManager fixes each of these without asking the team to move into a ticketing system.

Assignment that makes every conversation someone's job

Each new conversation on a shared address gets one owner. You can assign by hand, or write rules in plain English such as "Billing questions go to the operations lead" or "Anything from an existing customer goes to whoever answered them last." Unassigned conversations stay at the top until someone takes them, and the daily email briefing for the person on duty starts with what is unassigned or waiting too long.

  • One owner per conversation, visible to everyone on the team.
  • Reassign with one click when someone is out or a topic belongs to a colleague.
  • Rules route by topic, sender, customer or keyword in the request.
  • Conversations return to unassigned if the owner is away for the day.

Collision detection before anyone presses send

When a teammate opens a conversation that someone else is already answering, InboxManager shows who is working on it and whether a draft exists. If two drafts are started on the same conversation, both people see a warning before sending. Double replies, the most visible mistake a shared address can make, stop happening without anyone having to post "I've got this one" in chat.

AI drafts from past answers

Teams answer the same twenty questions again and again, and the best answers are already in your sent mail. For shared addresses, the AI email response generator drafts replies from how your team has answered similar messages before, in the team's tone rather than one person's. A customer asking how to change the billing email gets the answer your team has given before, adapted to their account and their wording. Drafts are saved to Drafts and are never sent on their own, so a person always checks the answer.

A week on support@ for a five-person team

Imagine a five-person operations team at an online furniture retailer that handles support@ and sales@. On Monday morning there are 140 new conversations. The AI email organizer moves 52 shipping notifications and supplier newsletters out of the way. Rules assign delivery questions to two people, returns to one, and wholesale inquiries on sales@ to the account manager. A customer writes twice about the same delayed sofa, and InboxManager groups both messages into one conversation for the person who owns it. When a second teammate opens the thread to help, the warning shows that a draft is already in progress, and she moves on. A long thread with a wholesale buyer carries a three-line view from the AI email summarizer, and the buyer's unanswered quote is tracked by the email follow up reminder until he replies.

Team inbox software that stays in Gmail and Outlook

There is no new client to learn. The shared address stays a normal Google Workspace or Microsoft 365 mailbox, connected through the official Google API or Microsoft Graph with OAuth. Assignments, owners and lanes appear as labels in Gmail and folders in Outlook. Admin roles control who can see and answer each shared address, the audit log records who replied to what, and data retention settings decide how long conversation data is kept. Shared inboxes on each plan

Shared inboxes are available from the Plus plan. Each shared address counts as one shared inbox and also as one connected mailbox. Starter is designed for a single owner and an assistant and does not include shared inboxes.

Users, mailboxes and AI limits for each plan are on the pricing page. Teams that handle personal mailboxes for an executive as well can combine this with email delegation to executive assistant.

Is InboxManager a help desk or ticketing system

No. There are no ticket numbers, portals or customer logins. Customers write to your address and receive normal replies from it. InboxManager adds assignment, collision detection and AI drafts on top of the mailbox your team already uses.

Can a person be on several shared inboxes

Yes. Each user can be added to any number of shared inboxes within the plan, and each shared inbox can have its own rules and owners. A person sees the shared addresses they belong to alongside their own mailbox.

Do customers see who is assigned

No. Replies go out from the shared address, such as support@, with whatever signature your team uses. Assignment and notes are visible only to your team.

Can I use a shared inbox with an Outlook group mailbox

Yes, shared mailboxes in Microsoft 365 and group addresses in Google Workspace can both be connected, as long as the address has its own mailbox that an admin can authorize.
