Inbox management in four steps, connect, sort, draft, approve
InboxManager handles inbox management inside the Gmail or Outlook mailbox you already use. You connect your account once, the AI sorts every new message into five lanes, writes reply drafts in your voice and tracks who owes whom an answer. You stay in charge of every word that leaves your mailbox, because nothing is sent until you approve it.
Step one, connect your mailbox in about a minute
You sign in with Google or Microsoft and approve the access request on their own consent screen. InboxManager connects through the official Google API for Gmail and Google Workspace, and through Microsoft Graph for Microsoft 365 and Outlook.com. There is no password to share with us, no forwarding rule to set up and no new email app to install. You can connect a second mailbox right away on Starter, and up to 150 mailboxes on Enterprise.
- Sign in with Google or Microsoft, approve the requested scopes, done
- Connect a work and a personal mailbox side by side
- Disconnect at any time from your settings or from your Google or Microsoft account page
Step two, AI sorts every new email into five lanes
From the moment you connect, each incoming message is read once and placed in one of five lanes: Important, Needs reply, Waiting, Newsletters, and Spam and cold pitches. In Gmail the lanes appear as labels, in Outlook as folders and categories, so the sorting shows up on your laptop, your phone and in any mail app you open. This is the part of inbox management that eats the most time, and it now happens before you even look.
- 01 Important holds mail from customers, investors, your team and anyone you reply to often
- 02 Needs reply collects messages that ask you a direct question or wait for a decision
- 03 Waiting tracks threads where you sent the last message and expect an answer
- 04 Newsletters and Spam and cold pitches move out of your way without being deleted
Read more about the five lanes on the AI email organizer page.
Step three, summaries and reply drafts in your voice
Long threads get a three-line summary at the top: what was decided, what is being asked of you and by when. For messages in Needs reply, InboxManager writes a reply draft that sounds like you, because it learns tone, length and sign-off from the mail you have already sent. Drafts are saved in your Drafts folder, where you can edit them in Gmail or Outlook like any other draft.
- Three-line summaries with decisions, asks and deadlines
- Drafts that match how you write to customers, to your team and to vendors
- One-click regenerate with a different tone, such as concise, warm, formal or firm
The AI email response generator page shows how drafts are written and how you edit them.
Step four, you approve, and only then does anything send
InboxManager never sends an email on its own. There is no auto-send switch to turn on by mistake, because that setting does not exist. You open a draft, change a line if you want, and press send yourself. If you work with an assistant, they can prepare drafts for you, and you give the final approval from your phone or desktop.
Inbox management that keeps running after you close the tab
Sorting once is easy. Keeping a mailbox under control every day is the hard part, so InboxManager adds three habits that run without you thinking about them.
- 01 Follow-up reminders, which nudge you when a thread in Waiting has had no answer for the number of days you choose, with a suggested follow-up draft ready
- 02 A daily briefing email, sent at the time you pick, listing what needs you today and what you are still waiting on
- 03 Rules in plain English, for example "Invoices from vendors go to Finance and remind me Friday", which the AI applies to every new message
See email follow up reminders and the daily email briefing for details.
Inbox management for you, your assistant and your team
Email rarely belongs to one person. On every plan you can invite an assistant who triages and drafts while you approve, with permissions you set per mailbox. From Plus upward, shared inboxes such as info@, sales@ and support@ get assignment, collision detection so two people never answer the same customer, and AI drafts built from your past answers. Admin roles, an audit log and data retention settings are part of every team setup.
- Assistant delegation with approval and clear permissions
- Shared team inboxes, 2 on Plus, 10 on Pro, 40 on Enterprise
- Audit log of who sorted, drafted and approved what
What you get each month
Every plan has clear monthly limits that you can see in the app at any time. Usage counts what you consume in the billing period, so deleting a draft or a summary does not give the allowance back. When you need more, you move to a higher plan.
| Per month | Starter | Plus | Pro | Enterprise |
|---|---|---|---|---|
| Emails triaged | 6,000 | 20,000 | 60,000 | 190,000 |
| AI reply drafts | 600 | 2,000 | 6,500 | 18,000 |
| Thread summaries | 400 | 900 | 3,500 | 9,000 |
| Connected mailboxes | 2 | 10 | 40 | 150 |
Plans start at 24 USD per month billed yearly. Compare every plan on the pricing page.
Do I need to change how I read email?
No. You keep using Gmail or Outlook on the web, on the desktop and on your phone. InboxManager writes labels, folders, categories and drafts directly into your mailbox, so the results are visible wherever you already read mail.
How long until the sorting is useful?
Sorting starts with the first new message after you connect. Reply drafts get closer to your voice as InboxManager reads more of your sent mail, and you can correct a lane with one move so similar messages land in the right place next time.
Can InboxManager delete my email?
InboxManager does not delete messages. Newsletters and cold pitches move to their own lanes, and you decide what to archive or remove. Every action the AI takes is reversible from your mailbox.
What happens if I disconnect?
Your labels, folders and drafts stay in your mailbox as they are. InboxManager stops reading new mail immediately and deletes the data it processed for your account, as described on the email data privacy page.
