InboxManager

AI inbox management that keeps you in control of every send

An AI inbox should take the busywork out of email without taking the decisions away from you. InboxManager is an AI email manager that reads each new message in your Gmail or Outlook, decides what it needs, prepares the answer and tracks the conversation, then hands you a short list to approve. It works inside the mailbox you already use, and it never sends anything on its own.

What AI inbox management takes off your plate

The repetitive parts of email follow patterns, and patterns are what AI handles well. InboxManager covers four of them.

  1. 01 Reading and sorting every new message into Important, Needs reply, Waiting, Newsletters, and Spam and cold pitches
  2. 02 Condensing long threads into three lines with the decision, the open ask and the deadline
  3. 03 Writing reply drafts in your voice for every message that needs an answer
  4. 04 Watching threads where you are waiting on someone and reminding you when they go quiet

What stays with you is judgment: which deal to push, which request to decline, what to promise a customer. The AI prepares, you decide.

An AI email manager that learns how you work

When you connect a mailbox, InboxManager reads your recent sent mail to learn your tone, your usual length and how you open and close messages. It also learns from corrections. Move a message from Newsletters to Important once and similar mail lands there next time. Edit a draft to be shorter and later drafts get shorter. You can also write rules in plain English, such as "Anything from our accountant is Important and remind me in two days", and the AI applies them to every new message.

The approval rule that makes an AI inbox safe to use

The biggest worry with any AI inbox is that it says something on your behalf you would never say. InboxManager removes that risk by design. Drafts are saved to your Drafts folder and stay there until you open one and press send. There is no auto-send option to switch on, and no rule can send mail. If you work with an assistant, they can prepare and edit drafts, and you still give the final approval.

  • Drafts only, never automatic sending
  • Every label, folder and draft is visible and reversible in your mailbox
  • An audit log records what the AI sorted and drafted, and who approved what

A day with an AI inbox

Picture a founder of a 20-person company with three investor threads, a hiring pipeline and a customer escalation in flight. At 7:30 the daily briefing arrives: two messages need a decision today, one customer is waiting on an answer from Tuesday, and a vendor has not replied to a contract question in four days. Each item links to the thread, with a summary on top and a reply draft ready. By 8:00 the urgent answers are approved and sent from the phone, the newsletters are out of sight and the follow-up to the vendor is drafted. The rest of the inbox can wait until the afternoon, because nothing in it needs her.

  1. 01 Daily email briefing at the time you choose
  2. 02 AI email summarizer for long threads
  3. 03 Email follow up reminders for quiet threads

Inbox management software that lives inside Gmail and Outlook

Some AI inbox tools ask you to move into a new email client. InboxManager does not. It connects through the official Google API and Microsoft Graph and writes its results as labels in Gmail and as folders and categories in Outlook. That means the AI inbox works on the web, in desktop apps and on your phone, with no extension to install. The Gmail AI assistant and Outlook AI assistant pages show the details for each.

Clear limits instead of unlimited promises

AI work has a real cost, so every plan has a clear monthly allowance shown in the app. Starter includes 6,000 emails triaged, 600 reply drafts and 400 thread summaries per month across two mailboxes. Plus raises that to 20,000, 2,000 and 900 for a team of up to five. Usage counts what you consume in the billing period, deleting a draft does not give it back, and a higher plan is how you get more. Prices start at 24 USD per month billed yearly. See pricing for every plan.

Will the AI inbox read all my old email?

InboxManager reads recent sent mail to learn your writing style and sorts mail that arrives after you connect. It does not need to process your whole archive to work, and you can limit how far back it looks in your settings.

What if the AI sorts a message into the wrong lane?

Move it to the right lane in Gmail or Outlook, the same way you would move any email. InboxManager treats the move as a correction and sorts similar messages accordingly from then on.

Can I use AI inbox management for more than one mailbox?

Yes. Starter connects two mailboxes, Plus ten, Pro forty and Enterprise 150. You can mix Gmail, Google Workspace, Microsoft 365 and Outlook.com mailboxes on one account.

Is my email used to train AI models?

No. Your mail is processed only to produce labels, summaries and drafts for you. It is not used to train AI models and it is not sold. Details are on the email data privacy page.
