InboxManager

Email follow up reminder that knows who owes you an answer

InboxManager is an email follow up reminder that watches the threads where you are waiting on someone else. When you send a message that asks a question, requests a document or proposes a meeting, the thread moves to Waiting. If nobody answers after the number of days you choose, InboxManager brings the thread back to the top of your inbox with a follow-up draft in your voice, ready for you to send or skip.

Waiting on reply tracking without a spreadsheet

Most missed follow-ups are not forgotten on purpose. You send a proposal on Tuesday, a dozen new threads arrive on Wednesday, and by Friday the proposal is forty messages down. InboxManager reads your outgoing mail and decides whether it expects an answer. "Here is the contract, let me know if anything needs changing" expects one. "Thanks, all good" does not. Threads that expect an answer get the Waiting label in Gmail or move to the Waiting folder in Outlook, and they leave Waiting by themselves when the other side replies.

  1. 01 Detects questions, requests, proposals and meeting suggestions in what you send.
  2. 02 Ignores thank-you notes, confirmations and messages that close a topic.
  3. 03 Clears the reminder automatically when a reply arrives, even from a different person on the same thread.
  4. 04 Lists every open thread in Waiting with the date you sent it and what you asked for.

Nudge after the number of days you set

You choose the default wait, such as three business days, and you can change it per message or per contact with a rule. When the time passes, the thread returns to Needs reply with a short note on what you are still waiting for. Rules in plain English handle the patterns you already know, for example "Investors get a nudge after five days, customers after two" or "Never nudge my lawyer, just remind me on Friday." Weekends and the dates you mark as time off are skipped, so a reminder never fires on Saturday morning.

Suggested follow-up drafts that do not sound like a robot

A nudge is only useful if you actually send it, and writing "just circling back" for the tenth time is the part people avoid. With each reminder, InboxManager saves a follow-up draft to your Drafts folder using the same voice as the AI email response generator. It refers to what you asked, adds something useful where it can, such as a shorter version of the question or a new date, and stays short. Like every draft, it is never sent without you.

A week of follow-ups for an account manager

Take an account manager at a marketing agency who handles eleven client accounts. On Monday she sends a renewal proposal to one client, asks a second client for brand assets and asks a freelancer for an updated invoice. All three threads go to Waiting. The freelancer answers the same afternoon, and that thread leaves Waiting on its own. The client with the assets replies on Wednesday. The renewal client stays silent. On Thursday morning the renewal thread is back at the top of her inbox with a draft that reads, in her usual tone, "Hi, quick check on the renewal proposal from Monday. If it helps, I can walk your team through the two options on a 15-minute call this week." She sends it from her phone in the elevator. On Friday, her daily email briefing lists the one thread that is still open.

When a follow-up is not the right move

Some threads should wait longer, and some should not be chased at all. You can snooze a reminder for a set number of days, mark a thread as done so it leaves Waiting, or turn reminders off for a sender. If a client answers by phone and you note it with one click, the reminder is cleared and does not come back.

Part of the same inbox, not another tool

Follow-ups depend on good sorting, so they work together with the AI email organizer, which decides what lands in Waiting in the first place. Long threads that come back with a reminder show a three-line summary from the AI email summarizer, so you remember what was agreed before you nudge. For teams that share sales@ or info@, the shared inbox software shows who owns each waiting thread, and assistants can manage reminders for their executive through email delegation to executive assistant. Sales leads using this every day will find more on the email follow up for sales page.

How follow-ups count toward your plan

Tracking threads in Waiting is included on every plan without a separate count. Each suggested follow-up draft counts as one AI reply draft in the billing period.

Does the email follow up reminder send nudges automatically

No. InboxManager prepares the follow-up as a draft and brings the thread back to your attention. You decide whether to send it. There is no setting that sends follow-ups on its own.

Do the recipients see that I use a reminder tool

No. Nothing is added to your outgoing messages. There are no tracking pixels, no footers and no links. Reminders are based on whether a reply arrives in your mailbox, not on whether someone opened your email.

Can I set a reminder on a specific email by hand

Yes. You can add any sent message to Waiting and choose the number of days, or pick a date. This is handy for messages the AI did not mark, such as a polite update you still want an answer to.

What happens if the reply goes to a different address

If the other side answers in the same thread, even from a colleague's address or a different mailbox you have connected, the reminder is cleared. A reply that starts a new thread is matched when it clearly refers to your message.
