Email management tools for every part of your inbox, in one app
Most people stitch together email management tools one problem at a time: a filter here, a snooze add-on there, a separate reminder app and a notes file of saved replies. InboxManager puts the whole toolkit in one email management app that works inside Gmail and Outlook. Each tool below handles one job, and together they turn a crowded mailbox into a short list of decisions.
The toolkit at a glance
Seven tools, one connection to your mailbox, one set of monthly limits.
- Triage into five lanes, so you see what needs you first
- Rules in plain English, so recurring mail goes where it belongs
- Thread summaries, so long conversations take seconds to understand
- Reply drafts in your voice, so answers are ready when you are
- Follow-up reminders, so no quiet thread is forgotten
- A daily briefing, so the day starts with a plan instead of a scroll
- Delegation and shared inboxes, so your assistant and team carry part of the load
A sorting tool that reads the message, not only the sender
Classic filters look at who sent an email and what the subject says. InboxManager reads the content and decides what the message needs from you. A customer question goes to Needs reply, a thread where you sent the last message goes to Waiting, a product update from a tool you use goes to Newsletters, and an unsolicited sales sequence goes to Spam and cold pitches. Important collects people you write to often and anything your rules mark as a priority. The AI email organizer page explains each lane.
A rules tool you can write in a sentence
You describe what should happen the way you would brief a colleague. For example, "Receipts from software vendors go to Finance", "Anything from the board is Important and goes in my briefing" or "Remind me Friday about unpaid invoices". The rule runs on every new email and the app shows which rule moved which message, so you can refine it in one edit.
A summary tool for threads you do not have time to reread
When a thread passes ten messages, the important part is usually buried in the middle. InboxManager adds a three-line summary that names the decision so far, the open ask and any deadline. You can open the full thread whenever you want, but most of the time the summary is enough to answer. See the AI email summarizer for how summaries are built.
A drafting tool that writes like you
For every message in Needs reply, InboxManager prepares a draft based on your past sent mail: your greetings, your typical length, the way you say no politely. The draft is saved in your Drafts folder in Gmail or Outlook. You edit it, regenerate it in a different tone or delete it, and you always press send yourself. Read more on the AI email response generator page.
A follow-up tool and a briefing tool
Two tools work on the calendar side of email. Follow-up reminders watch every thread in Waiting and nudge you after the number of days you choose, with a short follow-up draft ready to send. The daily briefing arrives by email at the time you pick and lists what needs you today, what you are waiting on and what came in overnight. Both are described on the email follow up reminder and daily email briefing pages.
Team tools for assistants and shared addresses
An email management app for one person stops being enough once someone helps you with mail. On every plan you can invite an assistant who triages and drafts while you approve. From Plus upward you get shared inboxes for addresses like info@, sales@ and support@, with assignment, collision detection and drafts based on how your team answered similar questions before. Admin roles and an audit log show who did what.
- Starter, 1 owner and 1 assistant, 2 mailboxes
- Plus, up to 5 seats, 10 mailboxes, 2 shared inboxes
- Pro, up to 25 seats, 40 mailboxes, 10 shared inboxes
- Enterprise, up to 100 seats, 150 mailboxes, 40 shared inboxes
Why one email management app beats five add-ons
Separate add-ons each ask for their own access to your mailbox, have their own settings and their own bills, and they do not know about each other. A reminder app does not know that your assistant already replied. A filter does not know which threads you summarized. With one app, the sorting, the drafts, the reminders and the team view share the same picture of your inbox, and you grant access once through OAuth. If you are still comparing, our best AI email assistant page looks at the main options honestly, and email management software covers the category for business buyers.
One price for the whole toolkit
Every tool is included on every plan, within the monthly limits of that plan. Starter is 24 USD per month billed yearly, or 49 USD month to month. Plans are counted as consumption in the billing period, there are no add-on packs and no unlimited tier, and moving up a plan raises every limit at once. Details are on pricing.
Do I need to install anything in Gmail or Outlook?
No extension or plug-in is required. You connect your mailbox once with Google or Microsoft sign-in, and the results appear as labels, folders, categories and drafts in the apps you already use.
Can I use only some of the tools?
Yes. You can turn off follow-up reminders, the daily briefing or reply drafts for any mailbox. Sorting and summaries keep working on their own.
Does the email management app work on my phone?
Yes. Because InboxManager writes its results into your mailbox, the Gmail and Outlook mobile apps show the same lanes and drafts. You can approve a draft from your phone by opening it and pressing send.
What happens when I reach a monthly limit?
The app shows your usage at all times. When a limit is reached, that tool pauses until the next billing period, and you can move to a higher plan to continue right away. Deleting drafts or summaries does not reset the count.
