AI email assistant FAQ
Straight answers about how InboxManager connects to Gmail and Outlook, what it does with your mail, how drafts and approvals work, and what each plan includes.
Getting started
What does InboxManager do?
InboxManager is an AI email assistant for Gmail and Outlook. It sorts every new email into five lanes, summarizes long threads in three lines, writes reply drafts in your voice and reminds you about emails you are still waiting on. You approve every reply before it is sent.
How do I connect my mailbox?
Sign in with Google or Microsoft from the app and approve access through OAuth. InboxManager uses the official Google API for Gmail and Microsoft Graph for Outlook, so it never sees or stores your password.
Do I need to install anything?
No. InboxManager works in your existing mailbox through labels in Gmail and folders in Outlook. There is no browser extension, no add-in and no new email app to learn.
How long until my inbox is sorted?
New mail is sorted as it arrives. When you connect a mailbox, InboxManager also sorts your recent inbox so you start from a clean view, and these emails count toward your monthly triage allowance.
What are the five lanes?
Important, Needs reply, Waiting, Newsletters, and Spam and cold pitches. Each email gets a one-line reason for its lane, and a rule in plain English can move a sender or topic to the lane you prefer.
Privacy and data
What can InboxManager access in my mailbox?
Only what it needs to read, label and draft. It asks for the minimum OAuth scopes for these tasks, and you can see and revoke the access at any time in your Google or Microsoft account settings.
Is my mail used to train AI models?
No. Your mail is processed only to produce lanes, summaries and drafts for you. It is not used to train AI models and it is never sold. Our AI model providers process requests under terms that exclude training on the content.
How is my data stored and deleted?
Data is encrypted in transit and at rest. You choose a retention period in the data retention settings, and when you disconnect a mailbox or ask support@inboxmanager.ai, the stored data for it is deleted. Details are on the email data privacy page.
Can my company sign a data processing agreement?
Yes. A DPA is available on request on the Enterprise plan. Write to support@inboxmanager.ai from your work address and we send it by email.
Drafts and sending
Can InboxManager send emails without me?
No. There is no auto-send setting. Drafts are saved in your Drafts folder and only you, or a teammate you gave permission, can send them.
How does it learn my writing style?
It reads the patterns in your sent mail, such as greetings, sign-offs, length and typical phrases, and writes drafts the same way. You can also choose a tone for each reply: concise, warm, formal or firm.
What languages can the drafts be in?
Drafts follow the language of the email you received, so a reply to an email in Spanish is drafted in Spanish. Summaries and your daily briefing use the language you set for your account.
How do follow-up reminders work?
When you send an email that expects an answer, InboxManager marks the thread Waiting. If nobody replies after the number of days you choose, it reminds you and prepares a short follow-up draft. See email follow up reminders.
Teams and assistants
Can my assistant manage my inbox?
Yes. Add your assistant to the workspace and choose what they can do: triage, draft, or also send on your behalf. Their drafts wait for your approval unless you allow them to send. See email delegation to an executive assistant.
How do shared inboxes work?
Connect a team address such as support@ or sales@ on Plus or above. Each email is assigned to a person, InboxManager shows when someone is already replying, and drafts draw on how the team answered similar emails. See shared inbox software.
Can I connect both Gmail and Outlook accounts?
Yes. Every plan lets you mix Gmail, Google Workspace, Outlook.com and Microsoft 365 mailboxes, up to the mailbox limit of your plan.
What admin controls are there?
Admins set roles, review an audit log of actions and choose data retention. Enterprise adds SSO with SAML, SCIM provisioning and an admin console for the whole organization.
Plans and billing
How much does InboxManager cost?
Starter is 49 USD per month or 24 USD per month billed yearly, Plus 149 or 74, Pro 499 or 249, and Enterprise 1,499 or 749. Yearly billing saves 50 percent. Full limits are on the InboxManager pricing page.
Is there a way to try InboxManager before paying?
Yes. The demo on the home page sorts an email you paste, summarizes it and drafts a reply. It runs a few times per account and does not connect to your mailbox.
What happens when I hit a limit?
Usage is counted per billing period and shown in the app. Deleting drafts does not give the count back. When an allowance runs out, that part pauses until the next period, or you move to a higher plan straight away.
Can I cancel any time?
Yes. Your plan stays active until the end of the period you paid for, then it does not renew. Payments are final, as described in the refund policy.
