Law firm email management software for Gmail and Outlook
InboxManager is law firm email management software that works inside the Gmail or Outlook mailbox your attorneys already use. It sorts client and opposing counsel mail into five lanes, summarizes long threads into the decisions, asks and dates, tracks messages still waiting on a reply, and drafts responses in each lawyer's voice. Every draft waits for the attorney to review and send. Nothing goes out on its own.

A lawyer's email day
Email is where a matter actually moves. A partner has client questions, opposing counsel proposals, court and filing notices, vendor invoices and cold pitches landing in the same inbox, often with a paralegal or assistant watching it in parallel. Billable hours go to reading and replying, and the cost of a missed message is high.
Where law firm email gets expensive
- 01 Long threads with co-counsel and clients take minutes to reread before every reply.
- 02 A reply promised to a client or opposing counsel is easy to lose when the thread goes quiet.
- 03 Assistants and paralegals triage a partner's inbox, but the partner still has to check everything.
- 04 New-matter inquiries to a shared intake address wait because nobody knows who owns them.
- 05 Replies to clients need a careful, consistent tone, including at 7 pm on a Friday.
How InboxManager manages law firm email, step by step
Picture a partner with three active matters. You connect the partner's mailbox and the intake@ address.
- 08:30. One daily briefing lists two messages waiting on opposing counsel for more than five days, a client question that needs a reply today and a new inquiry on intake@.
- 08:40. A forty-message thread between co-counsel and the client has a short summary: the settlement range was discussed, the client wants a call Thursday and the draft agreement is outstanding.
- 09:00. A routine client status question gets a draft in the partner's voice. The partner edits one sentence and sends it from Outlook.
- 11:00. A reply to opposing counsel moves to Waiting with a follow-up reminder after the number of days you choose.
- 14:00. The intake@ inquiry is assigned to an associate, and collision detection stops two people from answering it.
Everything is a suggestion: lanes, summaries and drafts. The attorney decides what is sent.
Features law firms use most
- AI email organizer sorts incoming mail into Important, Needs reply, Waiting, Newsletters and Spam and cold pitches, using Gmail labels or Outlook folders.
- AI email summarizer turns a long thread into decisions, requests and dates before a call or a hearing.
- Email follow up reminder tracks messages waiting on opposing counsel, clients and experts.
- AI email response generator drafts replies in the voice learned from your sent mail, with a tone you can set per rule. Drafts go to your Drafts folder.
- Email delegation to an executive assistant lets a paralegal or legal assistant triage and prepare drafts while the attorney keeps approval.
- Shared inbox software gives intake@ and info@ addresses assignment and collision detection on Plus and above.
Works with the mail platform your firm runs
Most firms run Microsoft 365 or Google Workspace. See how the Outlook AI assistant and the Gmail AI assistant work in each, and how business email management software compares across a whole team.
Which plan usually fits a law firm
A solo practitioner or small partnership with an assistant usually starts on Starter: one owner and one assistant, two mailboxes, 6,000 emails triaged, 600 AI reply drafts and 400 thread summaries per month. The yearly option is 288 USD, about 24 USD a month, and month to month is 49 USD.
A firm with several attorneys and a shared intake address usually picks Plus or Pro. Plus covers up to five people, ten mailboxes, two shared inboxes and 2,000 drafts per month for 74 USD per month billed yearly or 149 USD month to month. Pro covers up to twenty-five people, forty mailboxes, ten shared inboxes and 6,500 drafts per month for 249 USD per month billed yearly or 499 USD month to month, with admin roles and an audit log.
Pricing is per workspace, not per attorney, so adding a paralegal does not add a seat. Limits count what you use in each billing period. See all limits on the InboxManager pricing page.
Client mail handled with care
InboxManager connects through the official Google and Microsoft APIs with OAuth and asks for minimum access. Mail is encrypted in transit and at rest, is never used to train AI models and is deleted when you disconnect a mailbox. You choose retention in workspace settings, and an audit log records sorting, drafts, approvals and delegation changes. InboxManager is an email tool, not a legal service, and your firm remains responsible for its own confidentiality and ethics obligations. Details are on our email data privacy page.
Law firm email questions
Does InboxManager send emails to clients on its own?
No. It only creates drafts and the attorney reviews and sends them. There is no auto-send setting.
Can a paralegal manage a partner's inbox with it?
Yes. Through delegation, an assistant can triage and prepare drafts for the mailboxes and actions you allow, while approval stays with the attorney. Changes are recorded in the audit log.
Does it work with Outlook and Microsoft 365?
Yes. InboxManager works with Gmail, Google Workspace, Outlook.com and Microsoft 365, and the same sorting shows in the mailbox you already use.
Is client mail used to train AI models?
No. Mail is processed only to produce lanes, summaries, drafts and reminders, and it is never used for model training.
